Buy data for your ICP, not for the biggest headline database

Database size is only one input. What matters is usable coverage in your target countries, industries, company sizes, and roles; the freshness of contact data; the enrichment fields you need; and the percentage of records that survive verification and suppression. A smaller source with excellent coverage in your niche can outperform a larger general database.

Run a benchmark list before committing. Start with 100–500 known target accounts and compare how many correct contacts, verified emails, phone numbers, and useful enrichment fields each provider returns.

Coverage versus accuracy is the core tradeoff

Vendors can increase apparent coverage by returning more uncertain data. Your workflow pays the price later through verification cost, bounces, wrong roles, and manual cleanup. Track “campaign-ready yield,” not raw records returned.

Campaign-ready yield: records returned × correct role/account fit × usable contact data × verification pass × suppression pass.

Apollo: database-first sales intelligence

Apollo is a strong fit when the prospect database is the center of the sales workflow. Its current product supports account/contact search, many filter attributes, CRM/CSV/API enrichment, scoring, and direct movement into sequences and workflows. That can reduce handoffs for teams that want data, engagement, and sales operations in one platform.

The buyer should test the exact ICP rather than rely on broad contact-count claims. Also inspect CRM enrichment and API behavior if Apollo is expected to keep downstream systems current, not merely produce campaign lists.

Instantly SuperSearch: sequencer-first data and enrichment

Instantly's SuperSearch and Credits system fits teams that want data close to the email-sending workflow. Current first-party documentation describes searching contacts, waterfall-style work-email enrichment, profile/company enrichment, verification, and direct movement into lead lists or campaigns. Credits are consumed differently depending on the enrichment action.

This model can simplify an Instantly-centered stack, but compare credit economics using your real yield. If an ICP frequently requires multiple providers or heavy enrichment, the effective cost per campaign-ready lead can differ from the advertised credit price.

lemlist: database plus multichannel enrichment

lemlist combines a B2B database with verified contact enrichment, phone-data options, LinkedIn sourcing, and direct movement into multichannel sequences. Its current product pages also emphasize waterfall enrichment across multiple providers. That makes it attractive for teams that want sourcing, enrichment, and outreach in the same multichannel environment.

As with every waterfall system, evaluate the final usable result rather than the number of upstream providers. More lookups are valuable only if they produce accurate contacts at an acceptable cost.

Data-first versus sequencer-first stack

A data-first stack starts with the database/CRM as the source of truth and sends selected records to engagement tools. This fits mature RevOps teams, complex territories, or organizations that already govern data centrally. A sequencer-first stack sources and enriches leads close to the campaign, which can be faster for founder-led teams and agencies running discrete outbound motions.

Neither is inherently better. The decision depends on where deduplication, suppression, ownership, and lifecycle status should live.

Evaluate enrichment, verification, phone data, and APIs separately

CapabilityWhy it matters
Email enrichmentDetermines reachable-contact yield
VerificationReduces avoidable bounce risk
Phone dataImportant for multichannel SDR teams
Technographics / firmographicsEnables more precise ICP filters
CSV/API enrichmentUseful for keeping CRM/system-of-record data current
Export controlsDetermines portability and workflow flexibility

Suppression and deduplication belong in the buying decision

Ask how the platform handles duplicate people, duplicate companies, existing CRM records, prior opt-outs, and contacts already active in campaigns. A source that finds excellent leads but creates duplicate outreach can still be operationally expensive.

Before full-scale purchase, benchmark provider A and B on the same ICP sample and compare cost per qualified, verified, non-suppressed contact. That number is far more decision-useful than cost per raw record.
